ESSAY: A Letter of Complaint

Have you ever experienced a situation when you bought a thing from a shop and when you got home, you discovered that something was wrong with the thing you bought. You returned to the shop for a replacement but were asked to write a letter of complaint to the company. Do you know how to write the letter? 

When writing a letter of complaint, you should remember that it is a formal letter and has its own format.

Let's do some basic revision on the format.

FORMAL LETTER LAYOUT:

1) Writer's name and address at the top LEFT hand corner.
2) Draw a line below the address.
3) Recipient's name/ designation and address.
4) Date at the RIGHT hand side and on the same line as the last line of the receiver's address.
5) Salutation for example: "Dear Sir,"
6) Title/ Subject for example: Defective Microwave
7) First paragraph: NOT numbered.  For this INTRODUCTION part, write the   purpose of writing letter. Includes the point about the model of the purchase.
8) Other paragraphs are numbered and indented. For example:
  •     Second paragraph: Date of the purchase and elaboration.
  •     Third paragraph: Problem with the purchase and elaboration.
  •     Fourth paragraph: A request for refund or replacement and elaboration.
9) Concluding paragraph for example:  "I hope your company will look into this matter as soon as possible."
10) Include a complimentary close for example: "Yours faithfully,"
11) Signature at the LEFT hand side
12) Name in BLOCK letters.
